Synova Connect
Gmail & email
Connect Gmail so your Synova receptionist can read, draft, and send emails and monitor your inbox automatically.
Connect your Gmail account to Synova Connect so your receptionist can read, draft, and send emails on your behalf. This turns your AI receptionist into an email assistant that can monitor your inbox and respond automatically.
Plan availability. Gmail and other third-party software integrations require Professional ($299/mo) or Enterprise ($599/mo); they are not included with Starter ($99/mo).
Prerequisites
- A Synova Connect account
- A Google account with Gmail
Connecting Gmail
- Open your Synova Connect dashboard.
- Navigate to the Email page (look for the mail icon in the sidebar).
- On the Connection tab, you will see the Google (Gmail) account card.
- Click the Connect Google account button.
- A Google sign-in window opens. Sign in and grant Synova permission to send, read, and modify emails on your behalf.
- Once authorized, the card updates to show Connected with your email address.
Your tokens are stored securely and used only for this feature.
Enabling email monitoring
After connecting Gmail, an Incoming email monitoring card appears:
- Toggle the switch to on.
- When enabled, your AI receptionist will automatically read and respond to incoming emails in real time.
- A green label confirms: "Active — monitoring your inbox for new emails."
Toggle it off at any time to stop automatic monitoring.
AI and Preferences tab
Once connected, you can configure how your AI handles emails from the AI & Preferences tab:
- Custom Commands — give the AI specific instructions for handling emails
- Auto-Send Rules — define rules for when the AI should automatically send email responses
- Signature — configure your email signature in plain text or HTML format
- Tone — choose the tone for AI-drafted emails (e.g., professional)
- Length — set the preferred email length
Labels tab
If you have Gmail connected and the email configuration feature enabled, a Labels tab becomes available:
- View all your Gmail labels (both configured and unconfigured)
- Create new labels with a name, color, and description
- Edit label descriptions to help the AI understand how to categorize emails
- Delete labels you no longer need
- Toggle label visibility
Labels with descriptions help the AI understand your email organization system and categorize incoming messages accordingly.
Disconnecting Gmail
- Go to the Email page, Connection tab.
- Click the Disconnect Gmail button next to the connected account.
The connection is removed. Emails already sent or received are not affected.
Troubleshooting
- OAuth window does not open — check your browser popup blocker settings and allow popups for the Synova Connect dashboard.
- Monitoring not activating — if toggling the switch shows an error, the AI may need additional Gmail permissions. Reconnect your Google account to grant full access.
- Labels tab missing — the labels feature requires the email configuration feature to be enabled. Contact support if you do not see this tab.
